By registering for a program, purchasing tickets, or participating in any of our events, you agree to the following Terms and Conditions, Privacy Policy and Refund Policy. These terms are intended to ensure a clear, respectful, and transparent experience for all participants, families, and supporters of our community.
1. Program Registration and Fees
- Registration is required for participation in fee-based programs such as Fiddelium, Folk Band, and Summer Fiddle Camp.
- Fees must be paid in full at the time of registration unless alternate arrangements have been made in advance.
- Some programs (e.g., Fiddelium) may require auditions and acceptance before registration is permitted.
- Late registrations may be accepted at the discretion of the program administrator and are subject to availability.
2. Refunds and Cancellations
- Program fees are non-refundable, except in cases where the program is cancelled by the Nanaimo Fiddle Society.
- If a participant withdraws due to illness or unforeseen circumstances, partial refunds may be considered on a case-by-case basis.
- Ticket purchases for concerts and events are non-refundable, unless the event is cancelled or rescheduled.

3. Bursary Support
- The Nanaimo Fiddle Society is committed to accessibility and offers bursary support for those with financial need through our Fiddle Futures and Audrey Hansen Memorial donor programs.
- Bursary applications must be submitted prior to registration and are subject to review and approval.
4. Code of Conduct
We strive to create a safe, inclusive, and welcoming environment for all participants. By enrolling in our programs or attending our events, you agree to:
- Treat instructors, staff, volunteers, and fellow participants with respect.
- Participate in a spirit of collaboration, kindness, and community.
- Abide by venue-specific rules and guidelines during rehearsals, workshops, and performances.
The Nanaimo Fiddle Society reserves the right to remove a participant from any program or event if their conduct compromises the safety, well-being, or enjoyment of others.
5. Photography, Video, and Media Use
- Photos and videos may be taken at Nanaimo Fiddle Society events and programs for promotional and archival purposes.
- By participating, you grant the Society permission to use images or recordings that include you or your child, unless you notify us in writing in advance.
6. Liability and Risk
- Participation in our programs and events is voluntary and at your own risk.
- The Nanaimo Fiddle Society is not liable for personal injury, property loss, or damage that may occur during participation, except where required by law.
- Participants are responsible for their own instruments and personal belongings.
7. Changes to Programs or Events
- The Society reserves the right to change instructors, schedules, venues, or program content due to unforeseen circumstances or availability.
- Any significant changes will be communicated in a timely manner via email or on our website.
